Legal Receptionist

Sweeney Merrigan Law is growing, and we’re on the hunt for a versatile legal receptionist to answer phone calls, and handle various administrative tasks such as sorting mail and ordering supplies.

Your duties may also include scheduling appointments, handling inquiries, and managing outbound mail. You may also be required to assist with filing certain materials such as client documents and medical imagery. To ensure success as a legal receptionist, you should exhibit excellent communication skills and competency in general office administration. Outstanding legal receptionists are polished professionals who create a positive first impression. You’ll need to be friendly and outgoing, able to make an instant connection, but also assertive and aware of when a call needs to be forwarded or a conversation respectfully concluded. RESPONSIBILITIES
  • Answering, screening, and forwarding phone calls in a professional manner.
  • Sorting and prioritizing incoming mail.
  • Ordering and replenishing office supplies.
  • Observing business etiquette and maintaining a professional appearance.
  • Assisting with copying, scanning, faxing, emailing, and image uploads.
  • Managing the maintenance and repair of office equipment.
  • Organizing and managing the appearance of the office space, particularly in anticipation of a client’s presence.
  • Welcoming clients and visitors upon arrival at reception.
  • Scheduling and confirming appointments.
REQUIREMENTS
  • Minimum high school diploma, bachelor’s or associate degree preferred
  • Must be comfortable answering phones continuously throughout the work day.
  • This will be an on-site role.
  • Qualification in paralegal studies or similar preferred.
  • Prior experience as a legal or other receptionist will be advantageous.
  • Familiarity with legal terms, legal documents, and filing preferred but not required.
  • Excellent written and verbal communication skills.
  • Extensive experience working with word processing, spreadsheets, printers, copiers, scanners, faxes, and appointment scheduling and call forwarding systems.
  • Exceptional interpersonal and communication skills.

Sweeney Merrigan Law seeks a Case Manager to support our practice.

As a Case Manager, you will be primarily responsible for coordinating the activities of the billing process and performing complex billing duties for cases within the first 90 days. You will gradually transition and train to become responsible for all aspects of case management.

RESPONSIBILITIES
  • Acting as a liaison between clients and their medical providers and insurance companies on behalf of our attorneys and paralegals; responding to internal and external inquiries in a timely manner.
  • Preparing and analyzing client billing.
  • Monitoring deadlines for payments and coordinating the release of checks, ensuring that all tasks and duties completed are done within the firm’s set guidelines and policies.
  • Gradually take on all additional case management responsibilities.
COMPENSATION AND BENEFITS

DAY-TO-DAY
  • Billing Coordination, Balance Checks, Case Management
  • Handling all aspects of billing coordination including PIP, Medpay and insurance.
    • Claim setup, letter of representations, PIP application completion, PIP bill coordination, PIP exhaust letters, etc.
  • Communication with provider billing departments to check client balances and who paid what (PIP, Health Insurance, Workers Comp, etc).
  • All aspects of case management from a case’s start to finish.
    • File setup, claim setup, drafting letters of representations and notice letters, client communication, lien requests, drafting demand packages, settlement communication, etc.).
COMPENSATION AND BENEFITS

  • Manage a large volume of bills and balances with providers who may not pick up the phone and require repeated attempts to reach.
  • Comfortable being on the phone for much of the workday.
